Gap SUMMER ADVENTURES Camp Policies
Parents and Campers:
Please carefully read these policies. Both parents and camper are asked
to sign agreement to them on the camper application before acceptance
of
camper for the summer
CAMP POLICIES GENERAL:
Every camper should understand and willingly agree to abide by the
camp
regulations and policies in order that no misunderstandings may arise
during
the camp season. Smoking, drinking of alcoholic beverages, and the use
of nonprescription drugs other than those issued by the Infirmary are
not
permitted at camp. Winding Gap reserves the right to dismiss any camper
or staff member whose influence is considered detrimental to the
overall
camp program.
DO NOT SEND TO CAMP:
TV's, spray cans, large radios ("boombox" type), cellphones, laptop
computers,
camper vehicles, pets, etc. are not allowed in camp. iPods and other
music players with NO VIDEO (with
headphones)
are permitted inside the cabins only-and we discourage these as
they
make campers unsociable in the cabins. Food will be allowed to be
purchased
and consumed during the allotted Canteen time each day. Spray cans will
be thrown out. Camp personnel are not responsible for lost articles,
clothing
or otherwise. The camp does not permit personal sports equipment (i.e.
horses, bikes, bows, etc.) or any type of weapons to be brought to camp
by campers or staff.
REFUNDS:
Please note that no refunds will be made for any children sent
home
for cause, for willfully disregarding the camp policies, extreme
homesickness,
parent choice, late arrivals or early departures, or for being a
disruptive
influence on the camp. Tuition fees are refundable (less the $250
registration
fee) until February 1, 2008. Tuition balances and other fees are not
refundable
after this date. Exception: In the event of the closing of the camp for
any reason, all fees paid
by the campers/families will be refunded in full 60-90 days from the
notification of the closing. No reduction of fees for campers arriving
late or
leaving
early. In cases of documented medical emergencies when the camper must
leave the camp, the remainder of the tuition balance will be split
between
the camper family and the camp, this amount will be credited toward the
next year's tuition. Medical emergencies consist of campers going to
the
hospital and being unable to return to camp due to illness or injury,
or
a death in the camper's family.
USE OF TELEPHONE:
Campers are not allowed to use the telephone. Please
do
not
send your child to camp if you feel you cannot follow this policy.
Telephone calls disrupt your child's experience as well as the camp
routine.
We will be happy to give reports if you call us. Please also limit the
use of the camp fax line and email to business use. We encourage you to
write to your camper instead.
CARE PACKAGES:
We encourage Care Packages to campers. Please include such items as
books,
toys, letters, etc. FOOD items will NOT be given to
campers
and will be disposed of. We will
be
unable to allow food packages to stay in the Canteen or cabins; nor do
we have the room to store food items to send home with campers at the
end
of their stay. Please share this policy with friends and
relatives
of the camper!!!
HEALTH EXAMINATIONS AND INSURANCE:
Each camper is required to provide a health form which
includes
a
current (within 24 months) physical examination done by licensed
medical
personnel, immunization records, and signature for permission to treat
camper in cases of illness or injury. A current (within 12 months)
health
history is also required for each camper attending. Insurance cards are
required for each child.Camp Winding Gap will
accept
waivers from a church organization in lieu of this medical form. Each
camper
is required to provide proof of medical insurance. Parents will
be
notified if a camper is taken to the hospital or doctors office. Campers
are not permitted to keep any medication in their possession during
camp
with the exception of infirmary-approved creams and inhalers.
AGE LIMIT:
6-17 years. Enrollment is limited. Early registration is advised.
LOST & FOUND:
Other than medications,
we
will NO
LONGER ship any lost & found items at
any time. Please make sure you check lost & found and have
ALL
your camper's items before leaving the camp. In the event you do
leave anything behind, you may call the camp to see if we have it &
come to pick it up AFTER AUGUST 15th. After that date all items
will
be donated to a local charity.
Parents please read this particular policy carefully and
completely!!
Please label everything! After camp is closed for the season, we find
many
items that were left behind- PLEASE make sure you take everything with
you on Closing Day.
Other than medications, we will NOT send anything home
during
or
after the camp season, if you have left something of importance, we
will
make a note of it and and if it is located after the camp is closed we
will notify you. Please understand that many items
are not located even after camp! Eveything left at camp
will be donated to a local charity.
Please do not send expensive items to camp with your child as they may
be lost or taken home by other campers. Camp Winding Gap is not
responsible
for lost, damaged, or stolen items.
WORKING CAMPER PROGRAM:
Ages 15-18 with a reduction in camper tuition in exchange for
campers working in the kitchen, laundry and general program areas.
Preference given to previous CWG campers, limited openings per session.
There are no other discounts applied to this program.
REGISTRATION, TUITION, AND OTHER FEES:
Non-refundable registration fee is $250 per camper and is applied
to tuition. A 6% discount is applied to each additional brother
or sister after registration of the first child (discount does not
apply
to campers enrolling with any type of discounted rate). CWG
Trading Post should be paid
separately from tuition.
Payment Information and Schedule:
$250 nonrefundable Tuition Deposit required with submission of this
application.If enrolling after any of the dates below, earlier
due
payments must also be submitted with deposit.
Remaining balance paid in
ten equal installments by each of these
dates:
August 15, 2007
September 15, 2007
October 15, 2007
November 15, 2007
December 15, 2007
January 15, 2008
February 15, 2008
March 15, 2008
April 15, 2008
May 15, 2008
Late payments (1-30 days overdue) incur a $35 late fee each
month
Late payments over 30 days will be dropped from enrollment
Returned checks incur a $30 charge, in addition to the late fee.
There are no refunds of any fees given after February 1, 2008.
All fees must be paid in full by May 15, 2008. Trips or
any other added optional items are not refundable at any time once
booked.
Changes to sessions (increases/decrease in length of stay, etc.) must
be made prior to February 1, 2008 (subject to availability).
Adjustments made after this date are subject to availability only.
Refunds/discounts are not given for decreasing length of stay after
February 1, 2008.
CWG Trading Post Form must be completed and returned with payment
no less
than one month prior to arrival. These payments are separate from
tuition
and other fees and checks should be made out to the "CWG Trading Post."
Out of Camp Trip fees (i.e.Rafting, etc.) must be reserved and paid for
at time of Trip reservation. Trip fees are non-refundable, enrollment
is
very limited.
All medical costs will be billed to your account and copies of bills
given
to you to submit to your insurance company. Supplies from the Camp
Infirmary
are included in the tuition.
Tuition includes:
•CWG Laundry Bag
•On-site, as needed laundry service
•Daily activities & supplies
•Program equipment
•Meals
•Evening and special programs
•Lodging
•Out-of-camp program trips and equipment (canoeing, hiking, biking).
AIRPORT INFORMATION:
Airport pickup & drop off fees are $30 PER TRIP ($60
round-trip),
PROVIDED that the arrival and departure times are between 10am &
2pm
on the first and last day of camper's enrolled session(s). Fees
for
outside this time/date frame are $60 PER TRIP ($120 round-trip).
Flight delays, cancellations, etc. will incur this fee if the times are
moved outside our schedule.
SPECIAL EQUIPMENT
Please pay particular attention to the "What to Bring List" and acquire
all equipment needed for your camper. In addition, make sure your
camper has sufficient funds in the Trading Post, in addition to
toiletries
and other essentials, we also carry fun crafts items, bandanas, toys,
shirts,
grab bags, stationary, rental of sleeping bags and back packs, and
more.
Money left over from the Trading Post account will be returned to you.
